Job Description

The role of our Workplace Associate will deliver efficient and effective support of workplace operations, services, facilities, access, and physical space for Avanade employees, customers, and guests. You will support the rhythm and direction of business through the management of critical business processes and implementation of necessary updates related to our physical space. 

Key Responsibilities:
  • Actively engage with leadership, legal, human resources, IT, communications, and other stakeholders to create a cohesive office experience
  • Responsible for ensuring the safety of the workplace with site surveys and security audits
  • Monitor and enforce access to physical office and workspaces to support security/asset protection
  • Implement all company-mandated Covid-19 procedures, also complying with state and federal regulations as appropriate
  • Serve as primary building management liaison: point of contact for facility maintenance, vendor management, and cleaning services 
  • Manage employee Orca Card transit program
  • Maintain and manage furniture and office equipment repairs and maintenance
  • Greet and guide office visitors and guests, providing support to onsite employees as needed
  • Manage office event planning and coordination including but not limited to: booking and setting up conference rooms, arranging catering, facilities planning, telecommunications, coordination with support groups, vendor engagement
  • Coordinate incoming and outgoing mail, courier, and related delivery services
  • Manage voicemail process, forwarding messages as needed
  • Maintain workplace facilities and amenities such as refreshments, office supplies, etc.
  • Prior experience with event management and security systems preferred (e.g., CCURE 9000, EMS)
Other Requirements
  • Execute project/program plans and processes in alignment with Avanade’s objectives
  • Use personal judgment to resolve complex problems
  • Collaborate with Workplace team to provide high level hospitality experiences for our employees, clients and guests
  • Provide technical, administrative and operational support with developed understanding of Avanade’s processes and practices
  • Experience and comfort with Microsoft technologies (e.g., Microsoft Office, SharePoint, PowerBI)
  • Frequent walking, standing, climbing, lifting, stooping, and carrying of equipment and materials. Ability and comfort lifting up to 50 lbs is required.
  • Daily presence required at the Avanade Seattle office, located at Second and Seneca in downtown Seattle
Qualifications:
  • At least 2+ years’ experience in office management roles in a corporate environment
  • Working knowledge of office management practices along with supporting software
  • Excellent internal and external customer service skills
  • Proficient in written communications
  • Professional appearance and demeanor
  • Strong organizational and project management skills
  • Demonstrated experience exercising independent judgment and initiative
  • Ability to effectively plan, organize, and prioritize work
