Job Description

The Business Manager to the Global CEO of Avanade is required to provide executive support in an exclusive one to one working relationship with the CEO.  The BM acts as the primary point of contact for internal and external requests for time and attention of the CEO.  The BM manages the EA in the office to ensure the CEO’s schedule and all activities are prepared and organised to the highest standard to maximise productivity of the CEO.    This role is the liaison to the offices of the members of the Board of Directors (as needed) as well as Avanade executive team members.  This person is responsible for scheduling, organising and co-ordinating meetings of Board prep sessions and Executive forums on a regular basis.  As such the BM liaises closely with the Chief of Staff on aforementioned scheduling.

The BM is a creative person that enjoys working in a small, entrepreneurial environment whilst appreciating the largesse of the company, its parents and all objectives.  This person is results driven and community oriented and be willing to take on special projects pertaining to the Office of the CEO, approaching with a growth mindset. 

The BM has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organisational skills and the ability to maintain a realistic balance among multiple priorities. The BM has the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Key Responsibilities:

  • Deliver highest quality executive support to the CEO maintaining privacy of executive and company at all times.
  • Completes a broad variety of administrative tasks for the CEO including:
    • Working alongside and managing the EA in an extremely active calendar of appointments;
    • Planning well in advance all travel commitments and Area/Regional visits of CEO and ensuring the EA follows up in securing all travel detail as briefed, including itinerary/schedule/agenda, flights, hotels, processing and administration related to legal and compliance issues such as work permits and taxes etc.
    • If EA is not available for any urgent and immediate concerns to resolve any travel issues which may arise from time to time for the CEO.
    • Plans, coordinates, manages to ensure the CEO's schedule is followed and respected.
    • Providing a "gatekeeper" role, creating win-win situations for direct access to the CEO's time and office.
    • Communicating directly and on behalf of the CEO, with offices of  Avanade Board members in Accenture and Microsoft, clients and other key internal and external stakeholders.
    • Supporting meeting and event planning in accordance with established policies and procedures, including
      • meeting space reservation & venue selection, catering, team meals and entertainment, accommodation and transportation including central billing securing group rates where appropriate
      • meeting scheduling as well as presenter, attendees and resources confirmation and co-ordination
      • management of external vendors and meeting budget management
      • attending and supporting meeting, including taking minutes if requested or transcription of flip charts, send follow up correspondence (e.g., meeting minutes, action items).

(separate briefs available pertaining both Executive Committee and Board meeting events, both in-person and virtual).

o   The BM enjoys the variety of the position and will happily travel to varying locations with the CEO as required.

    • Researching, prioritising, and following up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature.
    • Working closely and effectively with the CEO - keeping well informed about upcoming commitments and responsibilities, following up appropriately.
    • Prioritising conflicting needs; handling matters expeditiously, proactively and follows-through on projects to successful completion, often with deadline pressures.
    • Ensuring a strong CEO support model in place when this person is out of office.
    • Overseeing the management of budget for CEO travel, CEO specific services and budget for meetings of the Office of the CEO.
    • Coordinating purchasing of equipment and services for the CEO in accordance with procurement and vendor processing standards

  • Other position details
    • May take on special projects linked to the Office of the CEO
    • May compile presentations decks for the Office of the CEO and support final editorial and formatting of deliverables
    • May perform records management, tracking and maintaining documents, distribution list, team sites etc
